
A Label Quality Control Checklist: What Should Be Inspected Before Delivery?
A label quality control checklist is what separates a supplier you can trust with a national retail launch from one you have to double-check every time. Before any order ships, someone needs to physically verify nine things: dimensions, color, print registration, barcode, die cutting, adhesive, roll winding, quantity, and packaging. Skip one, and the failure usually shows up on your customer’s line, not ours. Here’s exactly what should get checked, and why each check exists.
The 9-Point Label Quality Control Checklist
Every order runs through the same label quality control checklist before it ships, in this order:
1. Dimensions
Size errors sound minor until a label doesn’t fit an applicator or overhangs a container. Every run gets checked against the approved die line before it ships:
- Label length and width match the approved die line within tolerance (typically ±0.5mm)
- Corner radius matches spec, whether that’s rounded or square corners
- Label position relative to the liner edge stays consistent from the first label in the roll to the last
2. Color
Color drift is one of the fastest ways to make a brand look inconsistent on shelf. We check for it at three points:
- Color matches the approved proof or Pantone reference under standard lighting
- No visible color drift from the first label printed in a run to the last
- Consistent color across multiple rolls within the same order
3. Print Registration
Registration is where color layers line up, or don’t. Poor registration shows up as blurry edges, doubled text, or colors that bleed outside their boundaries:
- Each printed color layer aligns correctly, with no visible ghosting, doubling, or misregistration
- Text and graphics stay within their intended boundaries without bleed or cutoff
- Fine text and small font sizes stay sharp and legible at normal reading distance
Continuing the Label Quality Control Checklist
The next four checks on the label quality control checklist matter just as much as the first three:
4. Barcode
A barcode that looks fine to the eye can still fail at the scanner. We verify it, not just eyeball it, following the same principles in GS1’s barcode verification guidelines:
- Barcode scans successfully with a verifier, not just a phone scanner
- Barcode grade meets the minimum requirement, typically ANSI grade C or higher
- Correct data is encoded and matches the intended SKU, batch, or product code
- The quiet zone, the blank margin around the code, is not compromised by nearby print or trim
5. Die Cutting
Die cutting problems rarely show up until a customer tries to dispense the labels, and by then it’s too late to fix cheaply:
- Clean cut edges with no ragged tearing or fraying
- No cutting through the liner, which causes labels to jam in dispensers and applicators
- Correct kiss-cut depth so labels lift cleanly off the liner without tearing
- Matrix waste fully removed, with no adhesive residue left behind
6. Adhesive
Adhesive issues are hard to see and easy to ship by mistake, so this check gets a physical test, not a visual one:
- Adhesive covers the full back of the label with no dry spots
- The adhesive type used matches what was specified for the order and its application
- Test application on the actual substrate shows no immediate lifting or edge curl
7. Roll Winding
A roll wound incorrectly can jam a customer’s applicator even if every individual label is perfect:
- Labels wound at the correct tension, not so loose they telescope or so tight they crush
- Roll direction, wound in or out, matches the customer’s printer or applicator requirement
- Core size matches the customer’s equipment
- Labels sit evenly centered on the roll with no edges hanging off
8. Quantity
Quantity errors cause real problems downstream, especially when a customer’s production line runs on exact counts:
- Physical count matches the ordered quantity, within any agreed overage or underage tolerance
- Labels per roll match the specification, which matters for customers who count by roll rather than by piece
- No missing or duplicate labels within a run
9. Packaging
Good labels can still arrive damaged if the packaging around them fails first:
- Rolls individually protected, usually shrink wrapped or bagged, against dust and moisture
- Outer packaging correctly marked with roll count and product name
- Cartons cushioned to prevent crushing in transit
- Packing list matches the actual shipment contents
